The Office of the FAO Representative in Sri Lanka is looking for a highly motivated individual to fill the vacancy of the :

Title : Programme Assistant

Level : G-4

Job Role, Duties and Responsibilities

The Programme Assistant G-4 provides information and operational assistance for programmes and projects of the FAO Representation. S/he works under the overall guidance of the FAO Representative and the direct supervision of the Assistant FAOR (Programme).

The incumbent performs the following duties :

• Collect data and other information in the areas of FAO's activities in the country (agriculture, forestry, fisheries, rural / sustainable development) ; edit and prepare required information in appropriate format.
• Enter, select, analyze and summarize data from various sources, including FAO corporate systems, such as COIN (Country Office Information System), FPMIS (Field Programme Management Information System), Datawarehouse, GRMS, country databases, etc. • Maintain, log, file and update records in prescribed format for subsequent use. • Contribute to the monitoring of ongoing projects, with particular reference to budgets and workplans. • Assist in the preparation and submission of periodic and ad hoc project reports including project deliveries and estimates. • Prepare background material, working papers and tables for briefings, review sessions and meetings. • Liaise with Government counterparts in completing various documents such as surveys / questionnaires as required by FAO, facilitating Government clearances for incoming FAO missions and outgoing counterpart study tours / trainings. • Prepare correspondence to verify data, answer queries, and obtain additional information on transactions and operational matters, as required. • Maintain a filing system of technical and project documents and correspondence. • Carryout other specific operational tasks for programme / project implementation as requested. • Perform other related duties as required.

Qualification Requirements

Education : 

Secondary School Education.

Work Experience :  

Four years of clerical and/or programme experience, including analyzing, processing and editing of information and data and record keeping.

Languages :

  Working knowledge (Level C) of the English and working knowledge of the local language(s) is required.

IT Skills :

Ability to effectively use standard office software, such as MS Office (Windows, Word, Outlook, Excel, Power Point, Exchange). Ability to effectively use information systems and databases to insert and retrieve data, make enquiries and edit results.

Work Management Skills : 

Systematic, well structured and efficient approach to work assignments. Analytical ability, accuracy and consistency.

Interpersonal Communication and Teamwork Skills : 

A cooperative spirit, flexibility and openness to work in an international environment are needed. Tact, courtesy and a high level of trustworthiness are essential personal attributes.
The Post level is G4, with duty station Colombo. Subject to medical clearance, the appointment will be initially for a period of 12 months (one month probational period), renewable.
